These Terms & Conditions (Terms) govern attendance at and participation in the U.S Biotech Day (Event). By registering for, purchasing a ticket to, or attending the Event, you (Delegate) agree to be bound by these Terms. If you are registering on behalf of another person or an organisation, you represent that you have authority to bind that person or organisation to these Terms.
2.1 These Terms apply to all Delegates, speakers, sponsors, exhibitors and guests. Additional sponsor/exhibitor terms may apply and, in case of conflict, prevail for those services.
2.2 The Organiser may update these Terms from time to time. Material changes will be notified on the Event website and take effect for new purchases immediately and for existing Delegates on reasonable notice.
3.1 Prices are stated in USD and may be subject to VAT at the prevailing rate. Any discounts, promotional codes, or early-bird pricing apply only at the time of purchase and cannot be applied retroactively.
3.2 Payment is due upon registration unless otherwise agreed in writing. Tickets are not confirmed until full payment is received. Invoices are payable within the stated terms.
3.3 The Organiser reserves the right to refuse or cancel a registration and refund any fees received, acting reasonably.
3.4 Access to certain functions (e.g., partnering system, workshops) may require completion of profiles or selection of sessions, which are subject to availability.
4.1 Substitutions are permitted without charge up to 2 business days before the Event by notifying the Organiser in writing with the substitute's details.
4.2 Ticket transfers to a future edition of the Event may be permitted at the Organiser's discretion and may be subject to an administrative fee.
5.1 Delegate-initiated cancellations must be submitted in writing to info@usbiotechday.org from the email used for registration.
5.2 Refunds (excluding any non-refundable booking fees) will be issued according to the schedule below:
5.3 No-shows are not eligible for a refund or credit.
5.4 Sponsor/Exhibitor packages are non-cancellable once contracted. If cancellation is permitted by special agreement, a sliding scale of liquidated damages may apply reflecting benefits already delivered (branding, listings, marketing), minimum 50% of the package price.
5.5 If the Event is postponed, your Ticket will automatically transfer to the rescheduled date. If the Event is cancelled (and not rescheduled), you may elect a refund of the Ticket price paid or a credit towards a future edition. The Organiser is not responsible for any travel, accommodation, or other costs.
6.1 While we aim to deliver the programme as advertised, the Organiser may make changes to the agenda, speakers, format, date, Venue, or delivery method (physical/virtual) at any time for operational or safety reasons.
6.2 Such changes do not entitle a Delegate to a refund unless the Event is cancelled under clause 5.5.
7.1 Valid photo ID may be required to collect a Badge/Pass. Badges are personal, non-transferable, and must be worn visibly at all times in the Venue.
7.2 The Organiser and Venue security may conduct bag checks or deny entry for safety reasons. Delegates must comply with all health and safety instructions.
We are committed to providing a safe, inclusive, and professional environment. Harassment in any form is not tolerated. Prohibited conduct includes, without limitation:
8.1 Enforcement: The Organiser may take any action deemed appropriate, including verbal warnings, expulsion without refund, and referral to Venue security or law enforcement.
8.2 Reporting: To report an incident, contact info@usbiotechday.org or speak to any member of staff. We will handle reports sensitively and in confidence to the extent possible.
9.1 The Event may be photographed, filmed, or live-streamed by the Organiser and accredited media. By entering the Venue, you consent to your image and likeness being captured and used in Event-related editorial or promotional materials in any media worldwide, without compensation.
9.2 Opt-out: If you do not wish to be photographed or recorded, please inform the photographer and obtain an opt-out sticker at registration. We will take reasonable steps to accommodate requests, but cannot guarantee non-appearance in incidental or crowd shots.
9.3 Delegates may make limited personal recordings or photos unless a session is marked no recording. Any wider distribution, live-streaming, professional filming, or use of drones requires prior written permission from the Organiser.
10.1 Data Controller: Organiser is the data controller for Personal Data processed in relation to the Event. Contact: info@usbiotechday.org. Data Protection Officer (if appointed): info@usbiotechday.org.
10.2 Lawful Bases: We process Personal Data to administer registrations and deliver the Event (contract), to improve the Event and ensure security (legitimate interests), and for marketing where consent has been given or as otherwise permitted by law.
10.3 Collection: We collect Personal Data you provide (e.g., name, job title, email, payment details), data generated by your participation (e.g., session attendance, meeting schedules), and information from service providers (e.g., payment processors).
10.4 Sharing: We may use third-party processors for ticketing, payments, communications, mobile apps, and partnering platforms under appropriate contracts. If you allow a Sponsor/Exhibitor to scan your badge or opt-in to share your details, your contact details will be provided to that Sponsor/Exhibitor for their marketing per their privacy notice.
10.5 International Transfers: Where Personal Data is transferred outside the U.S, we implement appropriate safeguards such as the U.S International Data Transfer Addendum or other lawful mechanisms.
10.6 Retention: We retain Personal Data only as long as necessary for the purposes collected, including to meet legal, accounting, or reporting requirements.
10.7 Your Rights: Subject to conditions, you have rights of access, rectification, erasure, restriction, portability, and objection, and to withdraw consent at any time. To exercise rights, contact info@usbiotechday.org. You may lodge a complaint with the U.S Information Commissioner's Office (ICO).
10.8 Security: We implement appropriate technical and organisational measures to protect Personal Data commensurate with the risks.

11.1 All Content and Event materials are owned by the Organiser or the respective rights holders. You may not copy, distribute, adapt, or make derivative works without prior written permission, except for personal, non-commercial use.
11.2 Speaker slides or materials shared with Delegates are provided for informational purposes only and do not constitute advice.
12.1 Deliverables will be set out in an Order Form or Sponsorship Prospectus. Artwork, listings, and materials must be supplied by stated deadlines.
12.2 The Sponsor/Exhibitor is responsible for its stand, equipment, compliance with Venue rules, and insurance covering public liability and property.
12.3 The Organiser may relocate stands or adjust floor plans for operational reasons. Failure to occupy the stand by the published move-in deadline may result in reassignment without refund.
13.1 Delegates must comply with all applicable laws and Venue policies, including any public health measures in force at the time of the Event.
13.2 The Organiser may implement screening (e.g., temperature checks) or require reasonable evidence of compliance with health measures if mandated by authorities or the Venue.
14.1 Delegates are responsible for travel arrangements, visas, and associated costs. We recommend appropriate travel and event insurance.
14.2 The Organiser is not liable for costs arising from changes to your itinerary, missed connections, or visa issues.
15.1 Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
15.2 Subject to clause 15.1, the Organiser shall not be liable for: (a) loss of profits, revenue, or business; (b) loss of data; (c) indirect or consequential loss; and our total aggregate liability to any Delegate shall not exceed the Ticket price paid by that Delegate.
15.3 Content is provided for general information only and does not constitute advice. Delegates remain responsible for decisions made based on information obtained at the Event.
You agree to indemnify and hold harmless the Organiser, its affiliates, and personnel from and against any claims, losses, damages, liabilities, costs, and expenses arising out of your breach of these Terms or violation of law at the Event.
Neither party is liable for delay or failure to perform due to a Force Majeure Event. If such an event materially affects the Event, the Organiser may modify the format, relocate, postpone, or cancel the Event. Tickets will be treated per clause 5.5.
18.1 We aim to make the Event accessible. If you have accessibility or dietary requirements, please notify us at least 10 business days before the Event.
19.1 The Event is a professional business event. Persons under 18 may only attend with prior written consent from the Organiser and must be accompanied by a responsible adult at all times.
20.1 You will comply with applicable anti-bribery and anti-corruption laws, including the U.S Bribery Act 2010, and with applicable sanctions and export control laws.
21.1 These Terms and any non-contractual obligations arising out of or in connection with them are governed by the laws of Commonwealth of Pennsylvania, United States of America.
21.2 The courts of the Commonwealth of Pennsylvania shall have non-exclusive jurisdiction to settle any dispute arising out of or in connection with these Terms.
22.1 Severability: If any provision is found invalid or unenforceable, it shall be deemed modified to the minimum extent necessary, and the remainder shall continue in full force.
22.2 No Waiver: Failure to enforce a right shall not constitute a waiver of that right.
22.3 Assignment: Tickets are personal and may not be assigned without our consent. The Organiser may assign its rights and obligations to an affiliate or successor.
22.4 Notices: Formal notices must be sent by email to info@usbiotechday.org and are deemed received upon confirmation of delivery.
22.5 Entire Agreement: These Terms, together with any order confirmation and sponsor/exhibitor agreements, constitute the entire agreement between you and the Organiser regarding the Event.
22.6 Electronic Agreement: By registering, clicking to accept, or attending, you agree to these Terms electronically.
